Booking Terms

These Booking Terms govern travel arrangements made with Asahi Travel Group, the trading name of Asahi Travel Service LLC ("Asahi", "we", "us"). They form part of your contract with us once a booking is confirmed, and should be read alongside your individual quote and booking confirmation, which set out the specific terms for your trip.
1. About us
Asahi Travel Service LLC is a travel sales and planning company registered in New York, at 447 Broadway, New York, NY 10013. We design and arrange tailor-made travel in Japan. Travel services within Japan are delivered through our operating partners there, who hold the relevant local travel licences and registrations.
2. Quotes and confirmation
Quotes are tailored to your request and valid for the period stated on the quote. Prices and availability are subject to change until a booking is confirmed. A booking is confirmed only when we have received your deposit and issued a written booking confirmation.
3. Payment
- A deposit of 30% of the total trip cost is due at the time of booking to confirm your trip.
- The remaining 70% balance is due 30 days before your arrival in Japan.
- For bookings made within 30 days of arrival, full payment is required at the time of booking.
Quotes are provided in US dollars unless otherwise agreed in writing.
4. Children and infants
Child pricing is based on age at the time of travel:

| Child, 5 to under 11 years (with bed) | 75% of the adult tour fare |

Please provide the ages of all children at the time of booking so the correct pricing and arrangements apply. Some services and suppliers may apply their own child policies, which we will identify where relevant.
5. Changes by you
If you wish to change a confirmed booking, we will make reasonable efforts to accommodate the change. Changes may incur additional costs and supplier charges, which will be quoted to you before any change is made.
6. Cancellation by you
If you cancel a confirmed booking, the following charges apply, calculated as a percentage of the amount you have paid, from the date we receive your written notice of cancellation:

Certain hotels, ryokan, rail bookings, and experiences may carry stricter supplier cancellation terms, which will be identified where they apply. We strongly recommend comprehensive travel insurance to protect against cancellation costs.
7. Changes or cancellation by us
We plan trips carefully, but occasionally changes are necessary. If we must make a significant change to, or cancel, your confirmed arrangements for reasons within our control, we will tell you as soon as possible and offer a suitable alternative or a refund of payments made for the affected services, subject to supplier conditions and the limits in section 11.
8. Force majeure
We are not liable for any failure or delay in performing our obligations caused by events beyond our reasonable control, including natural disasters, severe weather, earthquakes, epidemics or pandemics, government action, civil unrest, strikes, or transport disruption. In such cases we will do our best to assist, but cannot guarantee refunds where suppliers do not refund us.
9. Travel insurance
Comprehensive travel insurance is strongly recommended for every traveler, arranged in your home country, covering cancellation, curtailment, medical expenses, repatriation, and personal belongings.
10. Passports, visas, and health
You are responsible for holding a valid passport, any required visas, and any recommended vaccinations for travel to Japan. We are happy to advise, but the responsibility rests with the traveler.
11. Our responsibility and liability
We act as a planner and arranger of travel services that are delivered by independent suppliers, including hotels, transport operators, guides, and our operating partners in Japan. We select these suppliers with reasonable care. We are responsible for arranging your travel with reasonable skill and care; we are not liable for the acts, omissions, or default of independent suppliers, or for loss, injury, delay, or damage caused by events beyond our reasonable control. To the fullest extent permitted by law, our total liability arising out of or in connection with your booking is limited to the total amount you paid to us for the affected arrangements. Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited.
Note for review: this limitation-of-liability clause should be confirmed by a qualified attorney against New York law and your insurance position before it is relied upon. It is written to a sound general standard.
12. Complaints
If a problem arises during your trip, please tell your guide or our 24-hour support team immediately so we can address it at the time. If a matter remains unresolved, please contact us in writing within 28 days of your return.
13. Governing law
These terms and your contract with us are governed by the laws of the State of New York, and any disputes are subject to the exclusive jurisdiction of the courts located in New York.
